Alright, so here's an example of how the schedule could play out, based on the input we've seen so far in this topic.  With a field of 24 or 26 there would be 21 hours of hardcore Karting we need to plan for.  This example schedule would try to do the following

- leave almost everyone free to do whatever they want in the afternoons, until the end of the week
- not have any official matches going too far past midnight
- get the European players to bed earliest
- not force Jones and Lovins to do official matches right away
- leave breaks between rounds
- try to not force people to play two rounds in a row very often

THIS IS JUST AN EXAMPLE SCHEDULE, NOT THE REAL THING, but we'll hopefully be able to post something real in a little over a week!

I'm not a Karter myself but I feel like the excitement for the tourney at this VA is pretty high! Can't wait to watch on stream, hopefully live if the timing lands on a weekend.

With the currently proposed schedules, the daily action would be happening in the late mornings on Wednesday and Thursday Australian time, then early morning through noonish on Friday, and very early morning through the finals around noon or 1pm on Saturday.  So the final day's exciting matches will be on the weekend, but you'd have to wake up for them.

I think the schedule above looks pretty decent and doable except that Friday is super stuffed- but that's okay, it was going to be the big tourney day with everyone glued to the projector regardless.

Example of how adjustments could work: JT decides he wants more time for Werewolf and Quiplash, so during practice rounds on Tuesday he finds Weatherton and Josh Nash and Dan B and asks if they'd be okay doing their round during the afternoon instead.  He confirms it with them for 4pm and talks to Third, who goes into the Google doc and moves them up in the schedule.

Now when everyone wakes up Wednesday morning the new schedule instead says

4pm JT Burbank Weatherton Nash

8pm Frankie MR Clark Mgay
9pm Eise Booth Trent Boss
10pm PYL Third Kyle Trouble

Opens up more time for GE or side tourneys or other latenight games and all the players can plan their day accordingly.

Just chiming in...tourneys are always a challenge, be it Kart, ping-pong, or GE, simply because it is vacation and there's a lot of stuff you can do besides the tourneys. In order to get them done on time, we have to pull people away from doing things that they're enjoying, and this generally has to happen at least a few times every year. The alternative is DQ'ing people, which we've never done because it's pretty harsh and we don't wanna kill the vibe (also skews points for the other three players). Regarding what Nate said (everyone must check their schedule every day and be ready to go), that's a lovely idea, but you can't force people to do this; the question becomes how to handle it when people don't keep up with their schedule. We usually find an okay balance of being lenient and laying down the hammer when necessary; however, one year Edeen was finishing the ping-pong tourney at 5 AM and then left for the airport immediately after, so the more we can stay on schedule, the better.

That being said, I like the look of Ng's mock schedule except I'm a little nervous about that Friday. As long as we can get semis set before dinner it looks good, so maybe we just lay down the law on Friday (and Thursday evening). I think I'm okay in saying that if people wanna bang out a play-in round ahead of schedule, just try to let me know (if you can plan it a day ahead of time, even better). Ultimately more planning WILL result in things going more smoothly, and it's better for the stream as well. The other thing I notice with the schedule now is that 8-12 is Kart primetime, every night. This might make it tough for people who want to play board games with the W's and stuff like that; while we should be able to find workarounds, if you'd rather do your Kart before dinner, don't hesitate to say so and it's likely we can accommodate you. In general, if you are in the tourney and your match is at a certain time, I will be looking for you at that time, and everyone will love you if you're down to Kart for 45 minutes.

To me this looks like a giant clusterfuck.  Odds are things gonna get delayed and this is a longer tournament than we usually have.
What do you propose to solve this?

I am in favor of playing my kart rounds earlier in the day and having more WW, Quiplash, RL, other n64 games, more visiting time, etc. post supper

Third: well said, I agree we should be able to find a happy middle ground between staying on schedule and allowing people to play at the times most convenient for their group.

wheat: no worries there, I have full confidence in Third to issue many a paddlin' if players start to put us behind schedule.

Nate: sure thing and if the other 3 N64 warriors in your group agree it'll be no problem to get the round in earlier.  That being said... there's literally no one in VA history who spends more time in the afternoons playing cornhole, tossing around frisbees, and trying to get groups together for volleyball/basketball/tennis/golfing/swimming/boating, so you're the last one I would have expected to be trying to move your matches out of the evening timeslots.

Cool! I think it would be great to include even more information if we are planning to do player bios with the commentary. Maybe each participant could have a short interview done with them and these could be shown on stream between rounds. I know I'm thinking big here, I guess it depends on what Beck would be able to do.

Good research, Jonesy. Abney's champ status in SC time trials deserves a mention in my opinion. I would also like to have the country info, especially for the non-Americans. I think people introduced themselves with name and state in the past, at least I saw it in a video made by Matis.

@Dan: He counted GP, VS and battle titles. I've won 10/20 possible ones at 4 Euro meets which are 4/4 GP Non-SC, 2/4 GP SC (2015/16), 0/4 battle mode, 1/4 VS Non-SC (2014) and 3/4 VS SC (not in 2013).

Would be good to hear from organisers, mainly the people who bring CRTs, how many of them can display PAL. That's important for the 1-try tournament, I would like to know in advance if we'll run it on NTSC or PAL consoles. Stinson wants to participate, I hope most of the known time trialers will do, everyone is welcome of course.
I'll provide a special prize the winner will be awarded, would be great to have at least the short final on stream then! ;)
I've spoken with Drew and Josh about TVs, we'll have at least 2 which support PAL. In order to demonstrate the highest level of time trials, Dan and I (top 2 of the world rankings) will bring the required equipment for 2 PAL setups which will be streamed on 1 computer then.
Everyone who has never played this slower version (runs at 50Hz/25fps while NTSC is at 60Hz/30fps) can either practise a bit before we start or simply join the 1-try tournament on an NTSC TV/game. We can convert the driven times and instantly compare everyone's results.
I would appreciate any volunteers to explain this side tournament to all the VA attendees not present here and especially to stream viewers during the event. Of course I won't shy at this part when I'm not playing myself, just like to get more time trialers involved.

Since it looks like the earlier rounds will be at pretty random times I guess what we'll probably do is stream all of those (and anything else) to the elite account on twitch like usual and then stream the semis and the finals on the last day to mine. Would be a bit hard to organize much better than that I think to get the commentary and stuff at least. I'll probably do a test stream with the setup later this week though

Since we are a week from start of the tournament and we know all of the attendees... can we go ahead and start putting together a more official schedule? If nothing else, we can find out who is going to play who in the play-in rounds so that we/they can schedule times for the matches.

Did we decide if we were going to schedule them ahead of time and post them each day in the morning and allow people to change a day ahead of time, or if every match was just going to be decided by the group?

Mgay dropped out so we've canceled the playin for the playin and are down to a clean 24, the above schedule has been updated and should be accurate now.  Feel free to post any concerns or swaps or changes you think we could do in terms of the times of these matches, nothing is locked down until Tuesday aft.

MR's (1st in the world) 43 in the semis is the best performance in multi I've ever seen.

The final was also the best final by far we've ever had, it's a super intense must watch if you haven't yet.
